You can use the Mobile Upload feature to transmit images of vendor bills, customer checks, cash receipts, invoice payments, or vendor W-9s for processing.
Note: You can also scan vendor bills, payments, or documents and upload the scanned images from your computer using the Upload Accounting Documents dialog on the Supporting Documents screen, accessed from the Resources menu.
You can send an email inviting multiple clients to use the mobile upload utility using the bulk Email feature available from the Client Notifications screen, accessed from the Client Center menu. Clients can access the utility from the link in the invitation email.
You can access the Mobile Upload utility from the link in the invitation email you received from the firm.
After clientsyou have uploaded images of bills or payments, an Unprocessed button appears on the Enter Bills or Cash Receipts screens to prompt you to process any pending bills or receipts, and a Preview button appears on the Vendor Setup tab for the vendor, allowing you to review the uploaded form.
To transmit and process images of bills or cash receipts:
1. Open the Mobile Upload utility on your device.
To access the utility, click the link in the invitation email.
2. Select one of the options in the Document Type field to indicate whether you are uploading a Bill to Be Paid, Cash Receipt, or Vendor W-9.
It is important to identify the type of file accurately to ensure that the bill, receipt, or form is processed correctly.
3. Tap the Vendor or Customer field (depending on the selection in the Document Type field) and specify the vendor or customer for whom you are uploading the bill, cash receipt, or W-9.
You can specify Unknown Vendor or Unknown Customer, if necessary.
4. Tap the Select Doc button and choose the camera application.
Alternatively, you can choose Document to select an existing file or picture stored on the device, or any other application presented.
5. Snap a picture of the bill, cash receipt, or Form W-9 and tap the check mark icon to select the picture for uploading.
You are returned to the Upload screen, and the selected image and its file name appear on the screen.
6. Tap the Upload button to send the image to the system.
A progress bar appears on screen, and you are prompted when the file has been successfully uploaded.
7. Select Cash Receipts from the Banking menu, or Enter Bills or Vendors from the Expenses menu for the client, depending on the type of document you uploaded.
§ The Cash Receipts or Enter Bills screen displays an Unprocessed button indicating that unprocessed receipts or bills are pending and have not been processed.
§ The Vendor Setup tab of the Vendors screen for the vendor displays a Preview button that enables you to review an uploaded W-9, if available.
Note: The Client Accounting Services tab of the Client Notifications screen, available from the Client Center menu, provides a count of unprocessed bills for all clients.
8. Click the Unprocessed Receipts or Unprocessed Bills button to open an image of an unprocessed receipt or bill for processing, or the Preview button to review the uploaded W-9.
The image appears in a separate pane for reference as you enter details into the screen.
9. Enter details related to the document you are processing in the Cash Receipts, Enter Bills, or Vendor Setup screen and save your entry to complete the attachment of the document.
