Review Customer Sales Reports

The Customer Sales Reports screen provides access to the following reports:

§        Customer List: Sets up a printable list of your customers' names, addresses, and phone numbers, and balances. You can sort the report by customer name or number.

§        Customer Receipts: Lists customer receipts for a specified customer in a defined date range. The output lists the customer name, the date and reference numbers of the receipts, the accounts, and the amounts.

§        Finance Charges: Displays overdue amounts and finance charges billed to date for each customer for any specified date range.

§        Sales Tax Liability: Displays sales tax liability for a selected period range and any states for which sales tax has been collected on customer invoices. Activity is sorted by county, and the report can be run in summary or detail mode. The summary totals all activity by county, unless different tax rates apply to the county within the requested date range. A further option lets you view the report on a cash or accrual basis.

§        Accounts Receivable Aging: Displays open receivables, based on a specified invoice date, to help you manage receivables aging. Receivables are grouped by due dates (1-30, 31-60, 61-90, and over 90 days from the invoice date). The summary report displays the total due from each customer, and the detail report also provides the details for each invoice. The report can be sorted by customer name or customer number.

§        Invoice Register: Displays all customer invoices, credit memos, and payments or applied amounts for a specified date range. You can select a single customer or all customers. This report can be sorted by reference (invoice or credit memo) number, or by date.

§        Sales Report: Displays all sales and credit memos for a specified date range. You can group the output by customer (default), product or service, or by sales representative. Any of these options let you sort by Amount, to sort the data by the total for each customer or product or service.

The Summary option displays totals for all customers, products and services, or sales reps. You can use the Summary option and sort the report by Amount for a quick overview of your most valuable customers, producers, or products. The Detail option displays each sale and credit memo individually.

§        Customer Balances: Displays each customer's balances as of a specified period ending date, to let you compare invoiced amounts and balances due.

§        Products and Services: Lists information for all of the company's products or services, sorted by Item Code.

§        Past-Due Invoice Report: Displays all past-due customer invoices for a single customer or all customers.

To view the reports available from the Customer Sales Reports screen:

1.  Select Customer Sales from the Reports menu to open the Customer Sales Reports screen.

2.  Click the name of the report you want to view from the panel on the left.

The panel lists all of the available Customer Sales reports. When you select a report, the report criteria screen for that report appears.

The Customer List criteria screen is selected by default.

3.  Enter the additional information requested for the specific report in the appropriate fields:

Note: The Products & Services report does not require additional criteria.

§        Customer List: Specify whether to sort the list by customer name or customer number.

§        Customer Receipts, Customer Statement: Select a customer and specify a date range.

§        Finance Charges: Specify a date range.

§        Sales Tax Liability: Specify a date range and a state for the sales tax, indicate whether to view sales by accrual or cash, and specify whether to view the summary report or the detailed report.

§        Accounts Receivable Aging: Specify the 'as-of' date, indicate whether to view the summary report or the detailed report, and specify whether to sort the report by customer name or customer number.

§        Invoice Register: Select a customer, specify a date range, and indicate whether to sort the invoice information by reference number or by date.

§        Sales Report: Specify a date range, indicate how to group the report or whether to sort by amount, and specify whether to view the summary or the detailed report.

§        Customer Balances: Specify an end date for the period to view and indicate whether to sort the report by customer name or customer number.

§        Past-Due Invoice Report: Select a specific customer from the drop-down list in the Customers field or select All, and specify whether to sort the report by Name, Due Date, or Amount in the Sort By field.

4.  Click the PDF, Excel, or Word button to indicate the output you want to generate.

Depending on the output format you choose, the file opens as a separate tab on your browser (PDF) or as a separate file (Word and Excel), from which you can save or print the report.

5.  Click Archive to save the requested data to Cloud Cabinet.
