Access Company Reports

You can access the following reports from the Company Reports screen:

§        Performance Analysis: Displays a summary of important financial information, key financial ratios, and cash balances, and includes graphs illustrating income vs. expenses, operating income trends, and an analysis of expenses, and, optionally, actual vs. budgeted figures for income and expenses for a specified period. In addition, the report provides lists of customer receipts and bill payments due, and a summary of aging accounts receivable for easy reference.

§        Chart of Accounts: Displays the company's chart of accounts, including account code, descriptions, type, class, and category.

§        Group Codes: Lists all available group codes, used to customize financial statements, including the account type and class that pertain to each group.

§        Budget Report: Lets you analyze budgets separately or in comparison to actuals. The Budget vs. Actual four-column report can be run either for a single period or year-to-date, and you can print the report by group code. Columns display actuals, budgets, a variance, and a percent variance.

§        Employee List: Displays name, address, and phone for each employee in the company. Sort by employee name or number.

§        Company Profile: Displays the company's setup information.

§        Activity Log: Displays a log of conditions or information that may require your attention, such as transactions entered out of period, to a closed period, or to a reconciled month, out of balance entries, added or modified accounts, banks, vendors, credit cards, etc., the date the year was closed, and transactions that used the suspense account.

You can use the Activity Log to analyze whether transactions need to be moved, such as transactions entered to a closed period or written to the suspense account. All activity on the report is identified by activity date, transaction date, and user; and you can group items by user to track each user's activity.

To view the reports available from the Company Reports screen:

1.  Select Company from the Reports menu to open the Company Reports screen.

2.  Click the name of the report you want to view from the panel on the left.

The panel lists all of the available Company reports. When you select a report, the report criteria screen for that report appears.

The Performance Analysis report criteria screen is selected by default.

3.  Enter the additional information requested for the specific report in the appropriate fields:

Note: The Group Codes report and the Company Profile do not require additional criteria.

§        Performance Analysis: Select the Show Budget Graph option to include graphs illustrating actual vs. budget figures for income and expenses, and use the drop-down list in the Period Ending field that appears to specify the period for which to illustrate actual vs. budget figures.

§        Chart of Accounts: Use the drop-down list in the Account Type field to select the type of accounts you want the report to display. You can select All, Asset, Liability, Capital, Revenue, or Expense accounts.

§        Budget Report: Select Budget Only or Budget vs. Actual in the Type of Report field, and use the Select Budget and Period Ending fields to select the budget to view and the period. You can use the Show Periods options to specify whether to display a Single Period, showing budget amounts only for the specified period, or Consecutive Periods (for Budget Only reports), to display all periods for the year through the selected period or YTD (for Budget vs. Actual reports), to display budgets for the year-to-date. Select the Show Annual option (for Budget Only reports) to display the annual budgeted amount for comparison, select a department from the Department drop-down list to run the report for an individual department's budget, and specify whether to group the report by Accounts or by Group Codes in the Grouping field.

Note: Group Codes are set up from the Custom Formatting screen available from the Financials drop-down menu.

§        Employee List: Specify whether to sort the report by employee Name or Number using the Sort By options, and select the Group by Department option to organize the employees listed by departments.

§        Activity Log: Specify a date range using the Date From and To fields and click the Group by User option to specify whether to list items by user to track each user's activity.

4.  Click the PDF, Excel, or Word button to indicate the output you want to generate.

Depending on the output format you choose, the file opens as a separate tab on your browser (PDF) or as a separate file (Word and Excel), from which you can save or print the report.

5.  Click Archive to save the requested data to Cloud Cabinet.
